This Privacy Policy explains how ForgeKeep handles information stored on the Platform, including guild data that may be sensitive or confidential. It should be reviewed alongside the Terms and Conditions.

1. Scope and purpose
This Privacy Policy explains how ForgeKeep handles information when you create an account, access, or use the Platform. It forms part of the Terms and Conditions and should be read together with them.
We process information only as reasonably necessary to provide the services described in the Terms and Conditions, including operating, maintaining, securing, troubleshooting, backing up, and improving the Platform.
2. Information the Platform may store
Depending on the features a guild uses, the Platform may store:
- Guild information and guild names.
- User profiles, member lists, roles, and permissions.
- Attendance records, event schedules, boss activity, loot, inventory, and contribution records.
- Financial records, accounting information, and treasury data.
- Notes, images, messages, uploaded files, and other User Content.
- Activity logs, access logs, integration settings, and configuration settings.
3. Ownership and permitted processing
Guilds and their members retain ownership of the information they submit to the Platform. ForgeKeep does not claim ownership of your data. Nothing in the Terms and Conditions transfers ownership of your content to ForgeKeep.
By submitting User Content, you grant ForgeKeep only the non-exclusive, worldwide, royalty-free license necessary to store, process, display, transmit, and back up that content for operating, maintaining, improving, and securing the Platform.
4. Confidentiality and competitive use
Guild rosters, financial records, event schedules, member activity, strategies, and other guild-related data may be sensitive or confidential. ForgeKeep will not access, disclose, use, or share guild data for personal gain, competitive advantage, or a purpose unrelated to operating, maintaining, securing, or improving the Platform.
We do not sell, rent, license, or otherwise disclose user data to third parties, and we do not share confidential guild information with other users, guilds, alliances, competitors, or unauthorized persons except as described in this Policy, requested by an authorized user, enabled by a selected integration, or required by law.
If a member of the Platform owner, development team, or administrative staff is also an active player in the same game or a competing guild, that person remains bound by the same confidentiality obligations. Intentional misuse, unauthorized disclosure, or use of confidential guild information for personal, competitive, or financial advantage is strictly prohibited.
5. Limited administrative access
The Platform owner, developers, and authorized administrators do not routinely monitor or review guild information. Access to user data is limited to situations where it is reasonably necessary to:
- Maintain or troubleshoot the Platform.
- Investigate bugs, security incidents, or reports of abuse.
- Restore lost or corrupted data when requested by users.
- Respond to user support requests.
- Comply with applicable laws or lawful requests from authorities.
- Perform system maintenance, security monitoring, backups, or migration.
Where technically feasible, administrative access to sensitive data is restricted using role-based permissions and may be logged for security and auditing.
6. Sharing and third-party services
When you connect Discord, Google, a game API, or another supported external service, ForgeKeep processes the identifiers and permissions needed to provide the selected integration. Those services may process information under their own policies, and ForgeKeep is not responsible for their changes, outages, restrictions, or discontinuation.
ForgeKeep does not sell, rent, license, or disclose user data for advertising, personal gain, competitive advantage, or an unrelated purpose. Information may be accessed or disclosed when reasonably necessary for the limited purposes in this Policy, when requested through an authorized feature, or to comply with applicable laws or lawful requests from authorities.
7. Security safeguards
We implement reasonable technical, administrative, and organizational safeguards to protect user data against unauthorized access, disclosure, alteration, or destruction. Where technically feasible, role-based permissions and access logging are used to protect sensitive information.
No online service can guarantee absolute security. We continuously work to maintain the confidentiality, integrity, and availability of your information, but you remain responsible for maintaining the security of your account and login credentials.
8. Guild administration and access
Guild leaders and designated administrators are responsible for managing guild data, assigning permissions, inviting members, removing members, and reviewing access when leadership or membership changes. ForgeKeep is not responsible for disputes involving guild leadership, ownership, promotions, demotions, membership decisions, or internal guild governance.
The information a guild makes available to its own authorized members or administrators is controlled by that guild's leaders and permissions. Users should not submit content that violates a law or a third party's rights.
9. Analytics and technical information
ForgeKeep may use privacy-conscious product and performance measurements to understand page reliability, service usage, and conversion. Analytics events should identify actions such as signup or tool use without including private guild, member, inventory, financial, message, or screenshot contents.
For security, reliability, abuse prevention, and enforcement, we may process account activity, audit logs, system records, access logs, and other technical information as described in this Policy and the Terms and Conditions.
10. Storage, backups, retention, and deletion
Although we perform reasonable backup and recovery procedures, we cannot guarantee that data loss will never occur. Users are encouraged to maintain their own backups of important records.
Data may be retained while an account or guild workspace is active and as needed for security, dispute resolution, backups, or legal obligations. Account suspension, termination, deletion, or Platform discontinuation does not necessarily remove information immediately where retention is reasonably necessary for these purposes.
Use available account controls or contact us to request correction or deletion where available and subject to applicable law, backup cycles, security needs, dispute resolution, and other obligations described above.
11. Monitoring and enforcement
To maintain the security, integrity, reliability, and proper operation of the Platform, we reserve the right to investigate suspected violations of the Terms and Conditions.
Where reasonably necessary, we may review account activity, audit logs, system records, access logs, and other technical information solely to detect fraud, abuse, or unauthorized access; investigate security incidents or suspected violations; respond to support requests; protect the Platform, its users, and its infrastructure; or comply with applicable laws, legal obligations, or lawful governmental requests.
Monitoring is conducted only to the extent reasonably necessary and in accordance with this Privacy Policy and applicable data protection laws.
12. Changes and contact
We may update this Privacy Policy when our data practices, Platform features, or service providers change. Material changes will become effective upon publication on the Platform or through other reasonable notice. Continued use of the Platform after an update constitutes acceptance of the updated Policy and the Terms and Conditions.

The Privacy Policy and Terms and Conditions are governed by the laws of the Republic of the Philippines, without regard to its conflict of law principles.
13. Advertising and cookies
ForgeKeep may use Google AdSense on selected public reference pages after the site has been approved to serve advertising. We do not place advertising on private guild workspaces, authentication pages, financial records, or user marketplace listings.
When advertising is active, Google and its advertising partners may use cookies or similar technologies to serve, measure, limit, or personalize ads where permitted. Their processing is governed by their own policies, including Google’s Privacy & Terms information.
Where consent is required, ForgeKeep will provide a consent message that lets visitors accept, decline, or manage advertising choices. Visitors can revisit available choices through that message and may also use the controls described in Google’s ad settings.
